Position: Office Assistant Location: Philadelphia, PA Pay Range: $16.00 to $23.00 depending on skill set Job Type: Full-Time Company: CSTK Inc. is an award-winning Authorized Thermo King dealership group providing a complete line of refrigerated transportation products, including parts, service, aftermarket accessories, trailer repair, and technology solutions.   • Assisting the office manager
  • Cross-training in part’s department functions including invoicing and payables
  • Prior service work to include billing/invoicing and scheduling, preferred
  • Compile and maintain reports and records
  • Review work orders for accuracy and timely enter service systems.
  • Issue receipts, refunds, credits, or change due to customers.
  • Obtain PO’s and close completed invoices in a timely manner.
  • General office duties to include filing and payables
  • Excellent teammate with collaborative attitude and eagerness to improve
  • Prompt and courteous demeanor

The Office Assistant will be responsible for helping with the organization and administration of the daily operations of our Philadelphia office. This position will handle incoming phone calls and other communications, greet clients and visitors, as well as data entry and other general office administrative duties and errands. The Office Assistant is expected to proactively coordinate, communicate, and problem solve throughout all day-to-day operations.

This position is required to work at our Boston office location 5 days a week.

Key Responsibilities

  • Serve as back up receptionist, answering and directing incoming calls as needed.
  • Manage the conference room calendar and handle scheduling conflicts with diplomacy.
  • Monitor office supply inventory and reorder as necessary.
  • Support new hire onboarding, including preparing workstations, welcoming new hires/interns, and providing office tours.
  • Establish and maintain relationships with vendors, building management, and service providers.
  • Address office-related issues and serve as the main point of contact for office-related requests and inquiries.
  • Ensure compliance with safety and security procedures and policies.
  • Oversee the office floor plan and coordinate workstation/office moves with the Office Manager.
  • Administer the business development external event scheduling, working closely with the Marketing department to manage the full event lifecycle.
  • Coordinate logistics for internal company events, meetings, and catered lunches; occasional evening event coverage may be required with prior notice.

Minimum Qualifications

  • Minimum of 2+ years of administrative or executive support experience.
  • High school diploma or GED required; bachelor’s degree preferred.
  • Experience in event planning.
  • Strong self-starter with the ability to work independently and proactively.
  • Ability to collaborate in a team environment while also working independently with minimal supervision.
  • Excellent communication skills with a professional demeanor, capable of interacting with all levels of the organization and clients.
  • Ability to exercise good judgment when handling confidential information.

General Description:
The Office Assistant is responsible for ensuring the efficient and smooth day-to-day operations at the Providence Corporation central office. Reporting Structure:
Reports to the Human Resources Personnel

Specific Duties:

  • Promote desired corporate image with all contacts.
  • Perform assigned tasks with minimal supervision including, maintaining filing systems, preparing and updating reports, etc.
  • Assume responsibility for maintenance and support of office equipment, including computers, copy machines, cell phones, etc.
  • Maintain office/residential supplies by conducting inventory and ordering needed items in a timely manner.

  • Assists with training of administrative and non-administrative employees.

Qualifications:

  • 3 years of medical clerical experience
  • 3 years of experience with standard Microsoft office projects such as Word, Excel, and Power Point
  • Detail oriented and comfortable working in a fast-paced office environment
  • Proficiency in MS Office with expertise in Microsoft Word, PowerPoint and Excel
  • Ability to analyze and revise operating practices to improve efficiency
  • Superior organization skills and dedication to completing assigned projects in a timely manner
